Compliance and Clarity: How Mind Australia Reimagined Learning

Mind Australia

Overview

Mind Australia is one of the nation’s leading providers of community-managed mental health and psychosocial support services. With a mission to help people experiencing mental health and wellbeing challenges find help, hope and purpose, Mind delivers tailored, evidence-based support to over 11,000 Australians each year.

Their work spans residential services, mobile outreach, centre-based programs and digital support, all underpinned by a recovery-oriented approach. Mind is recognised as a leader in psychosocial support and community housing, as well as a trusted NDIS provider. They also prioritise lived experience, employing a significant number of peer support workers across their programs.

This case study explores how Mind partnered with mylearningspace to implement Moodle Workplace as a scalable, organisation-wide learning platform – helping embed consistent training, support workforce development and ultimately enhance client outcomes.

Mind Australia

“We selected mylearningspace for their strong reputation as a trusted learning solutions provider, as well as their ability to deliver a cost-effective solution tailored to our organisational needs.”

The Partnership Begins

Before implementing its new Learning Management System (LMS), Mind Australia’s approach to learning wasn’t defined by systems or technology – it was grounded in people.

As one of the country’s leading providers of community-managed mental health and psychosocial support, Mind built its organisational learning culture around the principles it values most: lived experience, peer support, and co-designed practices.

Knowledge was shared organically through relationships, reflection, and collaboration. Staff learned with and from each other, especially through the voices of those with lived experience of mental ill-health.

This approach created a rich and authentic environment for growth – where professional development went hand-in-hand with empathy, storytelling, and purpose.

However, as the organisation grew and evolved, so too did its needs. The challenge became clear: how could Mind preserve the essence of this deeply human learning culture, while building the structure and scale needed to support a dispersed, multidisciplinary workforce?

This is where the journey with mylearningspace began – an investment in Moodle Workplace that would not replace Mind’s values-driven learning culture, but amplify it.

Learning Challenges

Before transitioning to a new LMS, Mind Australia faced a number of challenges that made it difficult to manage, track and scale learning effectively across the organisation. Their previous system lacked the integration, automation, and user experience needed to support a growing, modern workforce.

Critical Challenges

  • Limited integration with HR software (iChris), resulting in manual workarounds and increased admin workload

  • Inability to automate refresher course enrolments based on individual completion dates

  • Lack of accessible, reportable data for compliance and training insights

  • Line managers unable to easily view staff training status or completions

  • No automated reminders for incomplete or upcoming refresher training

  • No capability to integrate or track mandatory external training

  • Manual certificate submission and HR data entry for external course completions

  • No integration with Microsoft Office tools like Teams and Outlook for scheduling and virtual training

  • A confusing user dashboard, making it difficult for staff to find and complete required training

Moodle Workplace Implementation

Mind Australia selected Moodle Workplace as the LMS of choice due to its capability to meet the organisation’s evolving needs. With built-in features for automation, reporting, integration, and user-friendly navigation, Moodle Workplace offered a scalable solution that aligned with both current challenges and future goals.

1. Implementation Support

The implementation process was backed by consistent, high-quality support from the mylearningspace team.

The team were instrumental in guiding the transition, offering technical expertise and practical insights that ensured the system was configured to meet Mind’s specific needs.

2. Meeting Stakeholder Needs

The flexibility of the mylearningspace solution helped address the wide-ranging requirements of different stakeholders across the organisation.

New capabilities – such as session management via appointment bookings and dynamic automation rules – enabled smoother delivery of training that was previously difficult to implement at scale.

3. supporting a smooth transition

To support a seamless rollout, mylearningspace conducted hands-on workshops that encouraged thoughtful design and implementation planning. Responsive support ensured that whenever questions arose, the team was available to provide guidance or direct Mind to the right solution.

results and impact

Since implementation, Mind Australia has seen clear improvements in compliance tracking and reporting – two critical areas that previously required manual oversight and were prone to inefficiencies.

As Mind Australia continues to embed Moodle Workplace across the organisation, the focus is shifting toward evolving the platform to support broader learning objectives. While the current system has significantly improved automation and compliance, there are a few additional features the team has identified to enhance functionality — these have been submitted through the mylearningspace helpdesk for future consideration.

Looking ahead, Mind is preparing to adopt the 70-20-10 learning model organisation-wide. The ability to support this framework – emphasising experiential, social, and formal learning – will be key in shaping the next phase of Mind’s learning strategy, and Moodle Workplace is well-positioned to adapt to this emerging need.
